Add notes to client profiles
In this guide, you'll learn how to add notes to client profiles so your team can keep track of important details across all future appointments.
About client notes
Client notes let you save important client information, such as color formulas, style preferences, images, and files. These notes are only visible to your team, remain on the client's profile, and are available for every future appointment.
For a one-time update that only applies to a single visit, such as a client arriving late, use an appointment note instead. If there's information that needs to be immediately noticeable to your team, such as health concerns, add a staff alert.
Add a note to a client profile
- Open a client's profile from your Client list.
- In the left menu panel, select Records, then open the Notes tab.
- Click Add in the top right and enter your note in the text field. The Add a note pop-up opens with the client added automatically.
- To include a file, click Upload and select a file from your device. Image attachments show as thumbnails, and other files show a file-type icon. You can attach more than one file.
- If your business has more than one location, use the Location pill to keep the note visible to All locations or select specific locations. This pill isn't shown if your business only has one location.
- Click on the Save button in the top right to add the note to the client's profile. If you close the pop-up with unsaved changes, you'll be asked to confirm before discarding them.
Once added, the note appears at the top of the Notes tab, along with the date and team member who created it. Notes are grouped by month, so longer histories stay easy to scan.
Edit or delete a client’s note
- Open a client's profile from your Client list and in the left menu panel, select Records, then open the Notes tab.
- To make changes, click Actions, then select Edit. Update the text or attachments, then click Save.
- To remove the note, click Actions, select Delete, then confirm in the pop-up.
Client notes can't be recovered once deleted, so it's best to review the details before removing one.

Your business owner can control who can view, create, and edit client notes. If a team member doesn't have permission to view notes at a location, they won't see notes for that location, even if they can otherwise access the client's profile.
Yes, adding a note from an appointment or a sale automatically links the note to that appointment or sale. It also appears in the client's Notes tab under the matching Appointment notes or Sale notes filter.
