About how client forms are managed

Keep your forms organized by grouping similar forms into categories, such as consultation, consent or aftercare. This makes it easier for your team to find the right form when adding one to an appointment or service.

You can also edit, duplicate and archive forms to keep your forms list organized and up to date as your business needs change.

Create form categories

  1. From the main menu on the left of your screen, go to Settings
  2. Select Forms to open your list of client forms.
  3. Click on the Add button in the top right and select Category.
  4. Enter a Category name and an optional Description, then click Add.
  1. From the main menu at the bottom of your device, tap on More (grid icon) and open Settings.
  2. Under Workspace settings, tap on Forms to open your list of client forms.
  3. Tap on the Add button in the top right and select Category.
  4. Enter a Category name and an optional Description, then click Add.

Your new category appears in your list of forms. To add existing forms to it, drag and drop them into the category. When creating a new form, you can select a category to automatically add it.

Manage a form

  1. Under client templates, click Actions (three dots) on to the form you want to manage.

  2. From the dropdown, select from the following options:

    1. Edit: Update the form’s name, questions or settings in the form builder, then click Save changes.
    2. Rename: Enter a new name for the form, then click Save in the pop-up.
    3. Duplicate: Create a separate copy of the form to customize. Make your changes, then click Create form to save it as a new form. The original form isn’t affected.
    4. Move up or Move down: Change where the form appears in your list.
    5. Archive: Stop the form being added to appointments and remove it from any services. All completed submissions are kept. Click Confirm in the pop-up.

Any changes you make apply to forms that haven’t been completed yet. Forms your clients have already completed keep the questions and answers from when they were submitted.

FAQs

    • Forms with completed submissions can be archived but not permanently deleted, so your clients’ records are always kept. Archiving stops the form being used and keeps every submission available to view, print or download.

Forms that are already on upcoming appointments stay there until they’re completed or removed. Archiving stops the form being added to any new appointments.

Forms that haven’t been added to a category appear under No category in your list of forms. You can drag and drop them into a category at any time.
