Add merchants to your workspace
In this guide, you’ll learn how to set up self-employed team members with merchant profiles and pay details in your workspace.
How merchants work
Team members in your workspace can be set up as merchants to receive payments directly from clients into their own Fresha Wallet. Each merchant has their own payment setup that’s linked to your main workspace, allowing them to get paid instantly for their services.
All appointments, sales, and reports remain visible in your workspace, so you can continue managing everything as usual. This setup lets independent team members handle their own earnings while staying connected to your business on Fresha.
You'll need to have Fresha payments set up, allowing merchants to receive payments through your workspace.
Add merchants to your workspace
- From the main menu on the left of your screen, go to Team.

- In the left menu panel, select Team members.

- In the top right of the Team member list, click on the Add button to create a new team member profile.

- In the Add team member screen, enter the merchant's name and email address to add their basic details.

- Select Merchant account from the left menu panel, then Start now to set up their merchant details.

- Add the Name of merchant account. This will be how they are displayed throughout the workspace, including in reports and at checkout.

- Under Fresha fees, tick the following checkboxes to choose whether fees are passed on to the merchant:
- Team member pays payment processing fees: Have payment transaction fees charged to the team member's merchant account.
- Team member pays new client fees: Charge new client fees to the team member's merchant account and specify the Portion of fee to pass on.

- Click on the Add button in the top right of the view to save the merchant's profile.
Once the merchant's profile has been created, they’ll receive an email invitation to join your workspace and set up their merchant account. You can update their merchant details, including their permissions and services.
By default, they are assigned to all services, and their shift times will be set to the location's opening hours.
Add merchant pay details
You can also manage additional payment settings to track and customise how merchants are compensated beyond receiving automatic payments to their wallet.
- Open a merchant's profile from your Team member list.

- In the team member view, click on Actions and select Edit to update their profile.

- In the Edit team member screen, select one of the following from the left menu panel to view the team member's commission settings.
- Wages and timesheets: Set hourly rates and add overtime rules to calculate earnings. Track hours worked and lateness with timesheets, or use automated timesheets to calculate wages from shifts and breaks.

- Commissions: Create custom commission structures for services, products, memberships, and gift cards. Set fixed rates or tiered commissions based on your chosen structure and sales period.

- Pay runs: Include merchants in pay runs, choose their payment method, and decide which fees to deduct from their pay.

- Wages and timesheets: Set hourly rates and add overtime rules to calculate earnings. Track hours worked and lateness with timesheets, or use automated timesheets to calculate wages from shifts and breaks.
- Click on the Save button in the top right to update the merchant's profile.
Once saved, the merchant’s pay details are updated and reflected in future calculations for wages, commissions, or pay runs, and can be updated following the same steps.
Upgrade an existing team member to a merchant
- Open a merchant's profile from your Team member list.

- In the team member view, click on Actions and select Edit to update their profile.

- Select Merchant account from the left menu panel, then Start now to set up their merchant details.

- Add the Name of merchant account. This will be how they are displayed throughout the workspace, including in reports and at checkout.

- Under Fresha fees, tick the following checkboxes to choose whether fees are passed on to the merchant:

FAQs
Merchant accounts are currently supported for users based in the United States.
To resend an invite, go to Team members and opwn a merchant's profile. Click on the Actions button in the left panel and select resend an invite.
To assign a merchant to one or more locations, go to Team members and open the merchant’s profile. In the left panel, click Actions and select Edit. From the left menu, choose Locations, select where the merchant works, then click Save in the top right
