How merchants work
Independent team members in your workspace can be set up as merchants to receive payments directly from clients into their own Fresha Wallet. Each merchant has their own payment setup that’s linked to your main workspace, allowing them to get paid instantly for their services.
All appointments, sales, and reports remain visible in your workspace and lets independent team members handle their own earnings while staying connected to your business on Fresha.
You'll need to have Fresha payments set up, allowing merchants to receive payments through your workspace.
Add merchants to your workspace
- From the main menu on the left of your screen, go to Team.

- In the left menu panel, select Team members.

- To add a merchant to your workspace,, use one of the following methods:
- Add a new team member: In the top right of the Team member list, click on the Add button to create a new team member profile.

- Change an existing team member to a merchant: From the Team members list, click on the Actions button next to a team member's name and select Edit.
- Add a new team member: In the top right of the Team member list, click on the Add button to create a new team member profile.
- Select Merchant account from the left menu panel, then Set up to add their merchant details.

- Add the Name of merchant account. This will be how they are displayed throughout the workspace, including in reports and at checkout.

- Under Fresha fees, tick the following checkboxes to choose whether fees are passed on to the merchant:
- Team member pays payment processing fees: Have payment transaction fees charged to the team member's merchant account.
- Team member pays new client fees: Charge new client fees to the team member's merchant account and specify the Portion of the fee to pass on.

- Click on the Add or Save button in the top right of the view to save the merchant's profile.
Once the merchant's profile has been created, they’ll receive an email invitation to join your workspace and set up their merchant account by setting up their bank and billing details. They need to complete these steps in order to have an active merchant account.

Merchant accounts are currently supported for users based in the United States.
To resend a merchant invite to a team member, open your Team members list, and click on the Actions button next to the team member's name then select Edit. Select Merchant account from the left menu panel, then Resend invite.
To assign a merchant to one or more locations, go to Team members and open the merchant’s profile. In the left panel, click Actions and select Edit. From the left menu, choose Locations, select where the merchant works, then click Save in the top right
You can customise how merchants are compensated in your workspace through additional payment settings, including Wages and timesheets, Commissions, and Pay runs.
Merchants can choose to disconnect their agreement at any time if changes are needed. Once disconnected, the agreement cannot be reactivated, and a new agreement will need to be created to continue.
