Add merchants to your workspace
Easily invite self-employed team members to join your workspace as merchants, enabling them to process client payments directly and independently manage their earnings. Learn how to add merchants, unlocking flexible checkout options and comprehensive sales reporting.
Getting started
Once you’ve created a workspace you can start adding merchants who can take appointments through your business.
You'll need to have Fresha payments set up to unlock the full benefits of merchants, allowing them to receive payments through your workspace.
How merchants work
You can add both team members and merchants to your workspace.
Team members are staff you manage and pay directly, whereas merchants are self-employed professionals who use your venue's booking software and resources but handle their own payments.
Once added to your workspace, merchants can:
- Receive payments directly into their own accounts.
- Manage and track their income independently.
- Access individual sales reports.
This setup allows merchants to work more efficiently while benefiting from your facilities.
Adding new merchants
For a merchant to join your business you'll need to invite them to join your workspace by creating a profile using their email address.
Add personal details
To give the merchant individual login access, you'll need to add their email address to their profile. This will allow them to create their own profile and get started.
To create your merchant's personal profile:
- Open Team and select Team members.
- Click Add.
- Under Personal, select Profile.
- Click on the camera icon to add a profile picture.
- Upload, crop and apply your preferred photo.
- Enter the merchant's First name, Last name, Email address and Phone number.
- Select a Calendar color to represent the merchant on your calendar.
- Add a Job title. This will be visible to your clients when booking online.
- Under Employment details, enter a Start and End date for their employment.
- Add any private Notes regarding their employment details.
- Click on Addresses from the profile menu, select Add address, enter the details, and click Add to save.
- Click on Emergency contact from the profile menu, select Add emergency contact and fill in the details.
Add workspace details
After adding a personal profile, set your merchant's services, locations, and workspace details.
To add workspace details:
- Open the merchant’s profile under Team members.
- Under Workspace, set up the following areas from the menu:
- Services:
Scroll through the list of services, check the box next to each one that the merchant is qualified to perform. - Locations:
If you have multiple locations, scroll through the list, check the box next to each one where the merchant will work. - Merchant account:
Click on Set up to assign the member as a merchant.- Add the Name of merchant account. This will be how they are displayed within the workspace, including reports and at point of sale.
- Under Fresha fees, choose whether fees are passed on to the merchant:
- Team member payment processing fee:
Check the box to have payment transaction fees charged to the team member's merchant account. - Team member pays new client fees:
Check the box to charge new client fees to the team member's merchant account and specify the portion of fee to pass on.
- Team member payment processing fee:
- Settings:
Under Appointment settings, check the box to Allow calendar bookings. Under Permission level, use the dropdown to select the access level the merchant has to the workspace from Low, Medium and High.

Add merchant pay details
To add pay details for a merchant, continue from adding workspace details or:
- Under Pay, set up the following areas from the menu:
- Wages and timesheets:
Set up the merchants earnings by selecting an hourly rate, and if needed, include overtime calculations and rates. Use timesheets to measure hours worked and lateness, or use automated timesheets to automatically calculate wages from shifts and breaks. Learn more. - Commissions:
Set up tailored commissions for the merchant to earn on services, products, memberships, and gift cards they sell on behalf of your venue. Commissions can be configured as a fixed rate or tiered based on the structure and sales period selected by you. Learn more. - Pay runs:
Choose to include the merchant within pay runs and configure a preferred payment method for them. You can also determine which fees will be deducted from their pay when completing a pay run. Learn more.
- Wages and timesheets:
- Click Save.
Upgrading existing team members
You can change existing team members into merchants by updating their profiles.
To re-assign a current team member as a merchant:
- Open Team and select Team members.
- Click on the team member to open their profile.
- Click on Actions and select Edit.
- Under Workspace, click on Merchant account and select Set up.
- Add the Name of merchant account. This will be how they are displayed within the workspace, including reports and at point of sale.
- Under Fresha fees, choose whether fees are passed on to the merchant:
- Team member payment processing fee:
Check the box to have payment transaction fees charged to the team member's merchant account. - Team member pays new client fees:
Check the box to charge new client fees to the team member's merchant account and specify the portion of fee to pass on.

FAQs
Currently, merchant accounts are only available for users in the US.
To resend an invite, open Team, select Team members, click on the desired merchant, then choose Actions and select Resend invite.
Yes, merchants can be assigned across multiple locations. You can choose to assign them to selected locations or all locations through their merchant profile.
