Set up and manage service charges

Learn how to set up service charges that are automatically applied at checkout to help cover additional business costs.

How service charges work

Service charges are extra fees that are added to a sale to cover additional costs. For example, you can add to cover a cleaning fee. You can set them as a fixed amount or percentage, and choose to apply them automatically at checkout or manually to individual sales.

In some regions, such as the UK and the EU, passing on processing fees to clients is not permitted. In many countries, like the US, this is commonly passed on as a surcharge where rules may vary by state.

Set up service charges

  1. From the menu on the left of your screen, go to Settings. add_tax_group_web_1.jpg

  2. Click on the Sales category and then select Service charges from the left menu panel.  set_service_charge_web_2.jpg

  3. Click on the Add button in the top right to create a new service charge. set_service_charge_web_3.jpg

  4. In the Add a service charge view, add the service charge name and a description under Basic info. In the Add a service charge view, add the service charge name and a description under Basic info..jpg

  5. Under Rate type, choose how the service charge is calculated:Group 31332.jpg

    1. Flat rate: Enter a fixed amount that will be applied to the cart at checkout. 
    2. Percentage: Specify a percentage that will be calculated based on the item’s value. You can apply this to either the total sale amount, including taxes, or the subtotal before taxes.
    3. Both: Enter a fixed amount that will be added to the cart and a percentage that will be calculated based on the item’s value. 
  6. Under Settings, choose how the service charge will be applied from the following options:Group 31331.jpg

    1. Manually applied at checkout: Service charges aren't applied automatically, you can choose to add them during checkout.
    2. Automatically applied: Service charges are added automatically and can be removed during checkout if needed. You can choose to apply service charges automatically to online bookings and purchases, in store bookings and purchases, or both.
  7. Under Apply the service charge on, choose whether the service will apply to the Full sale value or Selected item types, including services, products, gift cards, and memberships.

    1. Check the tickbox next to each item to apply to the service charge calculation.
  8. Under Tax rate, use thr dropdown menu to select a tax rate from your existing tax options.

  9. Click on the Add button in the top right to save the new service charge.

  1. From the main menu at the bottom of your screen, tap on More (grid icon) and open Settings.

  2. Select Sales, then Service charges.

  3. Tap on the Add button in the top right to create a new service charge.

  4. In the Add a service charge view, add the service charge name and a description under Basic info. 

  5. Under Rate type, choose how the service charge is calculated.

    1. Flat rate: Enter a fixed amount that will be applied to the cart at checkout. 
    2. Percentage: Specify a percentage that will be calculated based on the item’s value. You can apply this to either the total sale amount, including taxes, or the subtotal before taxes.

  6. Under Settings, choose how the service charge will be applied from the following options:

    2. Automatically applied: Service charges are added automatically and can be removed during checkout if needed. You can choose to apply service charges automatically to online bookings and purchases, in store bookings and purchases, or both.
  7. Under Apply the service charge on, choose whether the service will apply to the Full sale value or Selected item types, including services, products, gift cards, and memberships.

  8. Under Tax rate, set a tax rate from your existing tax options.

  9. Tap on the Add button at the bottom to save the new service charge.

Once set up, the service charge will automatically apply to the selected items at checkout, showing as an itemized line. You can Edit or Delete service charges by following the same steps and selecting Actions next to the service charge.

Manage service charges at checkout

The service charge will automatically appear in the cart at checkout if you set it up to automatically apply.

  1. Open an existing appointment from your calendar.

  2. In the right panel of the appointment view, click on the Checkout button at the bottom.

  3. Select the Service charge at the bottom of the right panel and make either of the following changes:

    1. Edit the service charge: Adjust the Percentage or Fixed rate. Click on the Apply button to save the service charge.

    2. Remove the service charge: Click on the bin icon, then select the Yes, remove button to confirm.

  4. In the left panel of the payment view, select a payment method from the options.

  5. Click on the Pay now button at the bottom to complete the sale.

  1. Open an existing appointment from your calendar.
  2. In the the appointment view, tap on the Checkout button at the bottom.
  3. Select Service charge at the bottom of the cart view and make either of the following changes:
    1. Edit the service charge: Adjust the Percentage or Fixed rate. Tap on the Apply button to save the service charge.
    2. Remove the service charge: Tap on the bin icon, then select the Yes, remove button to confirm.
  4. Tap on the Continue to payment button at the bottom. 
  5. Select a payment method from the options. 
  6. Tap on the Pay now button to complete the sale.

The cart total will update automatically to reflect the changes. Removing a service charge here only affects the current appointment; it won’t change your settings or other appointments.

Manually apply a service charge at checkout

During checkout, you can manually add a service charge from a list of the ones already created in your settings.

  1. Open an existing appointment from your calendar.

  2. In the right panel of the appointment view, click on the Checkout button at the bottom.

  3. From here you can:
    1. Add more items to the cart using the Add to cart button in the right panel.
    2. Apply a discount to the whole cart or individual services
  4. Click on Quick actions (three dots) at the bottom of the right panel, then select Add Service charge.

  5. In the pop-up, select an existing service charge from the list. Once selected, the service charge will appear in the right panel.

  6. In the left panel of the payment view, select a payment method from the options.

  7. Click on the Pay now button at the bottom to complete the sale.

  1. Open an existing appointment from your calendar.
  2. In the appointment view, tap on the Checkout button at the bottom.
  3. Tap on Quick actions (three dots) at the bottom of the right panel, then select Add Service charge.
  4. In the pop-up, select an existing service charge from the list. Once selected, the service charge will appear at the bottom.
  5. Tap on the Continue to payment button at the bottom. 
  6. Select a payment method from the options. 
  7. Tap on the Pay now button to complete the sale.

Once the sale is completed, a breakdown of all service charges will appear on the client's sales receipt.

FAQs

    • Service charges apply to in-person checkouts only. Payments made online by clients for products, gift cards, memberships, or deposits, are processed without service charges.

      Service charges can be reviewed in the Finance summary report, which shows a breakdown of all charges applied across your sales.
