Explore how to use the Sales Summary to track your sales, refunds, and discounts.
Sales summary report explained
Alongside the Sales log detail report, the Sales summary report gives you full visibility of your sales, refunds and discounts. By selecting a specific time frame and grouping options, you can analyze the performance and key metrics for that period. For example:
- Location - See how much revenue each location is contributing.
- Team member & upsell sales - Group data by team member and include Upsell Net Sales to identify who’s excelling at upselling. This helps highlight strengths and areas for training.
- Channel - Group data by channel and use the Average Net Sales per Sale column to find out which channels bring in higher sales. This helps prioritize channels that are more profitable and align with your business goals.
- Discount - Group data by discount type to see which promotions are working best and understand the impact of each deal.
Using the Sales summary report
By selecting a specific date range, grouping and filters, you can track the sales performance and summary for the selected period.
NOTE:
- Voided sales and Gift card sales are excluded from the report.
- A client is classified as "new" based on their first purchase. Any client making their first sale will be marked as a new client.
TOP TIP: This report doesn’t include tips or service charges because it’s based on sale items. To see these extra charges, check the Service charges, Tips summary and Sales list report to understand these additional charges.
Grouping options
Use the Group by drop-down menu to refine your data by:
- Type - The type of sale item (e.g., Service, Memberships, Product, Late Cancellation Fee, No-Show Fee, Shipping).
- Category - The category of the item sold.
- Item - The name of the item sold.
- Team member - The team member who processed the sale.
- Client - The client associated with the sale.
- Source - The channel that the client came from (e.g., Book Now link, Facebook, Instagram, Walk-in, or any fields created under the Referral Sources page).
- Gender - The client’s gender as specified within their client profile.
- Retention - Indicates if the sale was the client's first sale, a returning sale or a walk-in.
- Channel - The channel used to book the appointment.
- Location - Location where the sale or appointment took place.
- Hour - The exact time the sale was made (e.g., 10 Jan 2024, 10:00 AM).
- Day - The date the sale was made (e.g., 10 Jan 2024).
- Month - The month and year of the sale (e.g., Jan 2024).
- Quarter - The quarter and year of the sale (e.g., Q1 2024).
- Year - The year of the sale (e.g., 2024).
- Payment method - The payment method selected at the checkout (set in the Payment types page).
- Transaction type - The type of the transaction (Sale, Refund).
- Sales status - The status of the sale (e.g., Completed, Refund, Unpaid, Part Paid, Exchanged).
- Supplier - The supplier of the product sold.
- Brand - The brand of the product sold.
- Discount category - The category of discount applied to the item.
- Discount type - The type of discount (e.g., deal, promotion under the Marketing section).
- Discount name - The name of the discount or promotion applied.
- Upsell - Whether the item was added during checkout (upsell).
Date range
Select a date range using the calendar drop-down menu to view data within a specific time frame. The date range filter is based on the day the activity took place, and includes the start and end date of the selected date range.
Filter options
Use the filters drop-down menu to narrow your data by:
- Location - Location where the sale or appointment took place.
- Team member - The team member who processed the sale.
- Status - The status of the sale (e.g. Completed, Refund, Unpaid, Part Paid, Exchanged).
- Channel - The channel used to create the appointment.
- Type - The type of the sale item (Service, Memberships, Product, Late cancellation fee, No show fee, Shipping).
- Client gender - The client’s gender as specified within their client profile.
- Client retention - Indicates if the sale was the client's first sale, a returning sale or a walk-in.
Understanding the Sales summary data fields
- Sales quantity - Quantity of sales made.
- Items sold - Number of items sold.
- Gross sales - Total value of sales, including taxes (if taxes are set up).
- Discounts - Total discount value applied within the selected date range.
- Refunds - Total refunds value processed within the selected date range.
- Net sales - Total net sales value processed within the selected date range.
- Taxes - Total taxes value applied for sales raised within the selected date range.
- Total sales - Total sales value processed within the selected date range.
- Discount % - Percentage of discounts applied to gross sale amount.
- Items discounted - Number of items that had a discount applied.
- Cost - Total specified supply price of products sold.
- Margin - Net sales minus the total cost of products sold.
- Margin % - The percentage of margin applied to net sales.
- Upsell qty - The number of items added during appointment checkout.
- Upsell net sales - The total value of net sales from items added during appointment checkout.
- % Upsell (net sales):- Percentage of total net sales from items added during appointment checkout.
- % Upsell (items sold) - Percentage of total items sold that were added during appointment checkout.
- % Upsell (sales quantity) - Percentage of sales with at least one item added during appointment checkout.
- Average net sale per item - The average net sale amount per item sold, Net sales/items sold.
- Average net sales per sale -The average net sale amount per sale (invoice) raised, Net sales/Sales qty.
- Service net sales - Total value of service net sales.
- Product net sales - Total value of product net sales.
- Other net sales - Total value of the net sales for items, other than products or services.
- Average tax rate - Percentage of total tax applied on total gross sales.
