Archive and delete team members from your workspace
In this guide, you’ll learn how to archive and permanently delete team member profiles in your workspace to restrict or remove access and prevent bookings.
How suspending, archiving or deleting team members works
If a team member is temporarily or permanently stepping away from your business, you can choose to suspend or archive their profile, depending on the situation.
- Suspend a team member: Ideal for team members on leave or working seasonally. This keeps their profile active, removes shifts, disables online booking, and retains appointment history for easy reactivation.
- Archive a team member: Best for long-term removal from your business. This archives the team member from your calendar and roster while keeping past records. Future appointments must be reassigned or cancelled. You can restore the profile in the future if needed.
- Delete a team member: Used to permanently remove a team member’s profile from your workspace. Deleting a profile keeps their past data in your reports (such as past sales and appointments) but fully removes the team member from your calendar, roster, and workspace access.
Suspend team members
To suspend a team member, you’ll first need to delete all their scheduled shifts and make them un-bookable in the calendar through their profile. This will remove their availability online too. They’ll still appear under the All team filter but won’t be available for new appointments. Next, change their permission level to No access to restrict workspace access. Once they have no upcoming appointments, their profile will become inactive resembling a suspended state. You can then go on to archive their profile.
Archive team members

From the main menu on the left of your screen, go to Team.

In the Team members tab on the left menu panel, you can view your list of team members.

Next to the team member you want to archive, click on Actions and select Archive from the options panel.

Click the Archive button in the pop-up to archive the team member.
Once archived, the team member will no longer have access to your workspace however their profile will remain so you can restore an archived team member at any time. If they have upcoming appointments, you’ll be prompted to cancel or reassign them before archiving their profile.
Unarchive team members

From the main menu on the left of your screen, go to Team.

In the Team members tab on the left menu panel, you can view your list of team members.

From the team member toolbar, click the Filters icon to locate archived profiles. In the filters view, click Status, select Archived, and then click the Apply button at the bottom to view all archived team members.

From the list of archived team members, click on Actions next to the team member's name and select Unarchive from the panel.
Once a team member is unarchived, their profile becomes active again and they’ll receive an email invite to rejoin your workspace. To make them bookable online, be sure to update their profile so they're bookable on the calendar and set up their scheduled shifts.
Permanently delete team members
- From the main menu on the left of your screen, go to Team.
- In the Team members tab on the left menu panel, you can view your list of team members.
- From the team member toolbar, click the Filters icon to locate archived profiles. In the filters view, click Status, select Archived, and then click the Apply button at the bottom to view all archived team members.
- From the list of archived team members, click on Actions next to the team member's name and select Permanently delete from the panel.
- Click the Delete button in the pop-up to permanently delete the team member profile.
Once a team member is permanently deleted, all their profile information will be removed and they will no longer have access to your workspace.
FAQs
Team members need to be archived individually. This ensures that all future appointments and data are managed correctly.
Yes, if you remove Calendar bookings for your team member or archive them - they will not be added to the next bill of your monthly subscription. Please see our Team plan page for more information.
Archiving a team member removes them from the active roster while keeping their appointment and sales history preserved. Their calendar will no longer be accessible, but their records remain visible in appointments, reports, or client profiles.
Once a team member has been permanently deleted, this data cannot be restored. You must re-create the team member by adding a new profile for them.
Once you permanently delete a team member, the following billing cycle will not include their subscription access.
If you become an Independent using Fresha (only one bookable team member) - you will need to manually downgrade your Team Plan subscription. To change to an Independent plan, open your Billing page, select the Subscriptions tab, open the Team Plan and select Change plan.
