Schedule and update team shifts
Start scheduling regular shifts for your team members to set their availability to take appointments. In this guide, you'll learn how to optimize your team's regular shifts and time off, for efficient scheduling and management.
Getting started
Stay organized by taking the following steps before scheduling regular shifts:
- Add and invite team members to your workspace, ensuring they’re assigned to the correct location if you have more than one.
Adding scheduled shifts

To add scheduled shifts for your team:
- Open Team and select Scheduled shifts.
- If you have multiple locations, use the filter to select the right one.
- Click on the pencil icon next to the team member’s name and select Set regular shift.
- Under Schedule type, choose how regularly you want the shift pattern to repeat (every 2, 3, or 4 weeks).
- Set the start and end dates for these shifts:
- Never:
Keep an ongoing schedule. - Specific date:
Select the date you want the schedule to send.
- Never:
- Check the box next to each day of the week the team member will work.
- For each scheduled day, adjust the shift start and end times.
- Select Add a shift to create built-in breaks. For example, a 1 hour lunch break.
- Click Save.
To add scheduled shifts for your team:
- Open Team and select Scheduled shifts.
- If you have multiple locations, use the filter to select the right one.
- Tap on the team member to see a dropdown of their shifts.
- Tap on any day under the team member and select Set regular shift.
- Under Schedule type, choose how regularly you want the shift pattern to repeat (every 2, 3, or 4 weeks).
- Set the start and end dates for these shifts:
- Never:
Keep an ongoing schedule. - Specific date:
Select the date you want the schedule to send.
- Never:
- Check the box next to each day of the week the team member will work.
- For each scheduled day, adjust the shift start and end times.
- Select Add a shift to create built-in breaks. For example, a 1 hour lunch break.
- Tap Save.
You can add up to 10 shifts per day for each team member.
Managing scheduled shifts
If you need to change a team member's regular shifts you can update their scheduled shifts. This will ensure they don't receive online bookings on these days.
Update a single shift

To update a single shift within the team member's schedule:
- Open Team and select Scheduled shifts.
- If you have multiple locations, use the filter to select the right one.
- Click on the shift you want to edit and select Edit this day.
- Update the shift details as needed.
- Click Save.

- Tap on the team member to see a dropdown of their shifts.
- Tap on a day under the team member and select Edit this day.
- Update the shift details as needed.
- Tap Save.
Update the shift schedule

To update the full shift schedule:
- Open Team and select Scheduled shifts.
- If you have multiple locations, use the filter to select the right one.
- Click on the pencil icon next to the team member and select Set regular shifts.
- Update the shift schedule as needed.
- Click Save.

Deleting scheduled shifts

To delete a team member's scheduled shifts:
- Open Team and select Scheduled shifts.
- If you have multiple locations, use the filter to select the right one.
- Click on the team member's shift you want to delete and select Delete this shift.
- Select Delete to reconfirm.
To delete a team member's scheduled shifts:
- Open Team and select Scheduled shifts.
- If you have multiple locations, use the filter to select the right one.
- Tap on the team member to see a dropdown of their shifts.
- Tap on a day under the team member and select Delete this day.
The team member will be labeled as "Not working" on this day.
If a team member is on annual leave or absent, there's no need to change their scheduled shifts. Instead, you can add time off.
