Blocked time lets you stay organized by reserving space in your calendar for everything beyond client appointments. Discover how this simple feature keeps your day running smoothly and avoids unwanted bookings.
Outside of serving your clients, sometimes you need to keep time for other things, like a team meeting, tidying up or lunch.
That's where blocked time comes in. It works like an appointment in your calendar, but it's only for you or your team instead of with a client. This helps you keep your day running smoothly, letting you plan your availability and prevent clients from booking appointments when you're busy.
Let's take a look at what this looks like in your calendar.
Blocked time is clearly grayed out, making it easy to see when a team member is unavailable. You can see the type of blocked time plus any description, letting your team know what's keeping you busy.
To add blocked time, you can find the option under the add button here. Then choose a time slot to block out for the team member who will be busy. Simply select a type, review the duration and you're ready to save.
Over here, you'll also find an option to repeat the blocked time on a schedule. This is handy for repeating breaks like lunch. Plus, there's an option to add a short description if you'd like. When you're ready, just hit save.
The blocked time appears directly in your calendar like this. The time slot becomes unavailable for clients booking online, so your schedule stays accurate.
Adding blocked time only takes a moment, and to make things even faster, you can add preset blocked time types for the reasons you use most often, like clean up time. Let's take a look at how to create them.
Head into your settings, select Scheduling and open blocked and open blocked time types. This is where you can find and manage the list of options available whenever you schedule blocked time.
Click add to create a new one. Give it a name like Clean Up and choose an icon to go with it. Then adjust the default duration like this. If you're using Fresha to pay your team, you can decide whether this time counts as paid or unpaid. When you're ready, just save it here.
Now, when your team adds blocked time from the calendar, they can pick the type you've created.
