Archive and delete team members
Archive and delete team members
Stay organized and manage your team members effortlessly. Learn how to suspend, archive, and permanently delete team members to keep your workspace up-to-date.
Getting started
Before archiving or deleting a team member we recommend:
- Reaching out to the workspace owner to request permission for Team members.
Suspending a team member
For seasonal staff or those on extended leave, suspension is a good option to prevent appointments from being assigned to them.

To suspend a team member:
- Open Team, then select Scheduled shifts.
- Locate the team member.
- Click on their working hours for each day and select Delete this shift. To delete all shifts, click the Edit icon by the team member’s name and select Delete all shifts.
- Once shifts are deleted, click the Edit icon again and select Edit team member.
- Select Settings and under Appointment settings use the toggle to disable calendar booking.
- Select Save.
To suspend a team member:
- Open the Team tab and select Scheduled shifts.
- Locate the team member from the list.
- Tap on their working hours for each day, and select Delete this shift.
- Once deleted, tap the Edit icon again and select Edit team member.
- Scroll across to the Settings tab, use the toggle to disable calendar booking.
- Save changes.
Archiving team members
Archiving team members helps keep your roster current by removing inactive members while preserving their important information. When you archive a team member, their appointment and sales history remain intact, but their calendar is no longer accessible. You can still view their records in appointments, reports, or client profiles.

To archive a team member:
- Open Team and select Team members.
- Click Actions next to the team member you want to archive.
- Select Archive.
- Click Archive to reconfirm.
To archive a team member:
- Open the Team tab and select Team members.
- Select the team member you’re looking to archive.
- Tap Actions and Archive the team member.
- Tap Archive to reconfirm.
If the team member has future appointments, an alert will appear, and you'll need to cancel or reassign them before archiving their profile.
Remember to note the archived team member's hours to make sure their shifts are covered by someone else.
Unarchiving team members

To unarchive a team member:
- Open Team and select Team members.
- Click on Filters and Apply the Status filter to view Archived members.
- Find the team member you’re looking to unarchive.
- Select Actions and click Unarchive.
If your business has multiple locations, assign the team member to a location by editing their "Works at" setting in their team profile.
To unarchive a team member:
- Open the Team tab and select Team members.
- Tap Filters and Apply the Status filter to view Archived members.
- Find the team member you’re looking to unarchive.
- Select Actions and Unarchive the team member.
If your business has multiple locations, assign the team member to a location by editing their "Works at" setting in their team profile.
After unarchiving a team member make sure to set up their new scheduled shifts under Team.
Permanently deleting members
If a team member isn’t returning, you can permanently delete their profile. First, reassign or cancel their future appointments, remove their permissions, and ensure they’re archived.
Reassign appointments

To reassign an appointment:
- Open Sales and select Appointments.
- Click Filters to sort by Team member, Location, Channel, and Status, then select Apply.
- Under Appointments, select a time period, set the Date range to All time, and click Apply.
- To manage an appointment, click the Ref # and Edit, Reschedule, or Cancel.
To reassign an appointment:
- Go to Sales and select Appointments.
- Tap the Filter icon in the top right corner to view by Team member, Location, Channel and Status. Tap Apply.
- Under Appointments, tap on the time period, go to Date range and select All time.
- Tap Apply.
- To manage an appointment, tap the Ref # and Edit, Reschedule, or Cancel.
Removing team permissions
If a team member needs to be quickly removed but still has future appointments, you can revoke their access to your workspace.

To remove permissions for a team member:
- Open Team and select Team members.
- Click Actions next to the team member's name.
- Select Edit and then Settings.
- Under Permission level, choose No access from the dropdown menu.
- Click Save.
To remove permissions for a team member:
- Open the Team tab and select Team members.
- Tap on the team member whose permissions you’re looking to update.
- Tap on the Workspace tab.
- Under Permission level, tap Edit, and from the drop-down menu to select No access.
- Tap Save.
Deleting a team member
Once the team members' appointments have been reassigned and their access removed, you can delete the team member.

To permanently delete a team member:
- Open Team and select Team members.
- Click Filters.
- Under Status, select Archived and then Apply.
- Find the team member you’re looking to delete.
- Click Actions and then Permanently delete.
- Select Delete to reconfirm.
To permanently delete a team member:
- Open the Team tab and select Team members.
- Locate the team member from the list.
- Select Actions and tap on Archive
- Tap Filters and use the Status filter to show archived team members.
- Find the team member you’re looking to permanently delete.
- Select Actions and Permanently delete the team member.
