Manage cash advances for pay runs
In this guide, you'll learn how to enable cash advances for team members to track and calculate cash payments collected from clients as advances.
How cash advances work
When a client pays in cash, team members may keep the payment as an advance for the sales they complete. With cash advances, these payments can be automatically tracked and calculated within their pay runs.
Enable cash advances
- From the main menu on the left of your screen, go to Team.
- In the team member list, click on a team member to view their details.
- From the team member view, click on Actions on the left and select Edit from the panel.
- In the Edit team member view, select Pay runs from the left menu panel.
- From the Pay runs view, tick the checkbox under Cash advances to record full cash payments received by the team member as an advance for 'paid' sales within the pay run.
- Click on the Save button in the top right corner to enable cash advances for this team member.
By default, cash advance settings will be disabled and can be enabled for individual team members as needed.
Complete a pay run
- From the main menu on the left of your screen, go to Team.
- In the left menu panel, select Pay runs.
- From the Pay runs view, click on the Pay team button on the right to pay your team.
- On the Choose compensation types page, tick or untick the checkbox to select the compensation types you would like to include in this pay run. Click the Continue button in the top right to proceed with the pay run.
- From the Team members pay run summary page, tick or untick the checkbox next to your team member to choose who to pay. Click the Continue button in the top right to proceed with the pay run.
- From the Review pay run view, any outstanding balance for the team member to pay will be displayed in red on the left panel, under Requested manually.
- Change the pay run review status by clicking on the Needs review button and use the drop down menu to choose Approve.
- Click on the Complete button in the top right to complete the pay run.
Once completed, the team member will receive an email asking them to settle the outstanding balance offline.
