Manage cash advances for pay runs
Streamline cash management with Team Pay. Learn how to enable cash advances for team members to seamlessly track and calculate cash payments collected from clients as advances.
Getting started
To use cash advances, start by setting up the following areas of your workpace:
- Upgrade to Team Pay.
- Update your team members' commissions.
- Set up pay runs for your team members.
How cash advances works
When a client pays in cash, team members may keep the payment as an advance for the sales they complete. With cash advances, these payments can be automatically tracked and calculated within their pay runs.
Enabling cash advances
Enable cash advances to automatically record full cash payments collected by a team member.

To enable cash advances for a team member:
- Open Team and select Team members.
- Select an existing team member to open their profile or create a new one.
- From the team member profile, select Actions and Edit.
- Click on Pay runs and check the box under Cash advances to record full cash payments received by the team member as an advance for 'paid' sales within the pay run.
- Click Save.
To enable cash advances for a team member:
- Open Team and select Team members.
- Tap an existing team member to open their profile or create a new one.
- Next to the team member profile, select Actions (the three dots) and Edit.
- Scroll across and open the Pay runs tab and check the box under Cash advances to record full cash payments received by the team member as an advance for 'paid' sales within the pay run.
- Tap Save.
By default, cash advance settings will be disabled and can be enabled for individual team members as needed.
Checking out cash sales

To checkout a sale with cash payment:
- Open Sales and Add a new sale. Or, open the Calendar to checkout an existing appointment.
- Adjust the cart items if needed and select Continue to payment.
- Select payment as Cash and enter the collected amount.
- The team member collecting the cash will be shown under “Cash received by”. Where needed, click on their name to reassign the payment collection.
- Click Add and Pay now.
To checkout a sale with cash payment:
- Open the Calendar and select Add (+), then Sale.
- Adjust the cart items if needed and select Continue to payment.
- Select payment as Cash and enter the collected amount.
- The team member collecting the cash will be shown under “Cash received by”. Where needed, tap on their purple name to reassign the payment collection.
- Tap Add and Pay now.
You can split cash payments within a single sale, assigning them to the appropriate team members, and it will be reflected in their pay run.
You can easily reassign cash payments for a completed sale by accessing the Sales details, selecting Actions and then Edit sales details. From there, adjust the team member assigned to the Payment collected and Save.
Reviewing cash advances

To check the team member's pay run to see cash advance details:
- Open Team and select Pay runs.
- Click on the team member’s pay run to view a breakdown:
- Earnings:
Total earned from sales. - Paid:
Total cash collected for paid sales as an advance, with a daily record of cash collected during the pay period. - To pay:
Any outstanding amounts accumulated through cash advances that the team member needs to settle manually.
- Earnings:
To check the team member's pay run to see cash advance details:
- Open Team and select Pay runs.
- Tap on the team member’s pay run to view a breakdown:
- Earnings:
Total earned from sales. - Paid:
Total cash collected for paid sales as an advance, with a daily record of cash collected during the pay period. - To pay:
Any outstanding amounts accumulated through cash advances that the team member needs to settle manually.

Completing pay runs

To complete pay runs with outstanding cash advances:
- Open Team and select Pay runs.
- Click Pay team and select the compensation types you want to pay out.
- Select the team member and review the pay run.
- Any outstanding balance for the team member to pay will be displayed under Requested manually.
- Update the status to Approve and click Complete.
The team member will receive an email asking them to settle the outstanding balance offline.
To complete pay runs with outstanding cash advances:
- Open Team and select Pay runs.
- Tap Pay team and select the compensation types you want to pay out.
- Select the team member and review the pay run.
- Any outstanding balance for the team member to pay will be displayed under Requested manually.
- Update the status to Approve and tap Complete.
The team member will receive an email asking them to settle the outstanding balance offline.
