Set up and manage PIN switching
Allow team members to securely manage and access your workspace from a shared device using PIN switching. Learn how to set up, enable, and manage these settings easily.
Getting started
PIN switching works with your team's permission settings, allowing each member to access a shared device while only entering areas they’re authorized to use. Before setting this up, we recommend:
- Defining your permission levels and assigning them to team members.
How PIN switching works
PIN switching lets you securely switch between user accounts on your desktop or mobile device. Once set up, each team member gets a unique PIN to access the workspace on a shared device, ensuring they can only view areas they have permission for. This feature allows you to:
- Decide which team members will receive a PIN code, which they can access via an email with a secure link to their account.
- Set up automatic screen locking when inactive or after checkout, requiring the next user to enter their PIN code to regain access.
View your PIN code
Members with a PIN code can also access it from their account profile.
To access your PIN code:
- Open your profile by clicking on your Avatar icon.
- Click on Workspaces and select Manage.
- Under Workspace PIN code, click on the visibility eye icon for your PIN code.
- Enter your account password and select View PIN.
- You can also access your PIN code by selecting Options and choosing either:
- Send PIN by email:
Resend yourself the email containing the link to view your PIN. - View PIN:
Enter your account password to view your PIN. - Get new PIN:
Request a new PIN to be sent via email.
- Send PIN by email:
If a team member doesn't have PIN switching enabled and the account is locked, they need to log out and log back into their own account using their email.
Setting up PIN switching
Anyone with permission to configure PIN switching can enable this setting for the workspace.
To enable PIN switching for your workspace:
- Open Workspace settings, select Team and then PIN switching.
- Next to PIN switching, select Set up.
- Check the box to Automatically lock screen when inactive and set the inactivity duration before the screen locks.
- Choose a theme for your lock screen appearance and Continue.
- Select team members who will receive a PIN code.
- Continue to review your PIN code settings.
- Click Enable.
Each team member selected during the initial setup will receive an email with a secure link to access their PIN code. This link is only sent once. After that, team members won’t receive new emails if you edit, add members, or disable and re-enable PIN switching. They can always access their PIN through their personal profile.
Lock the workspace screen
Once PIN switching is enabled, you need to manually lock your screen to activate the feature. This works on any signed-in device. Remember to retrieve your PIN code before locking the screen.
To manually lock your workspace screen:
- Open the workspace account and click on the Avatar icon.
- Select Lock screen.
- The lock screen will appear, prompting for a PIN.
Enabling PIN switching
To enable PIN switching for an individual team member:
- Open Team and select Team members.
- Click on a team member to open their profile.
- Select Actions and Edit.
- Under Workspace in the menu, select Settings.
- Toggle on the PIN switching feature.
- Click Save.
Managing PIN switching
To activate updates to your PIN switching settings, lock your screen once the changes have been made.
Edit PIN switching settings
To edit PIN switching settings:
- Open Workspace settings, select Team and then PIN switching.
- Next to PIN switching, select Edit.
- Update the PIN switching settings as needed.
- Click Save.
When you add a new team member, you must edit your PIN switching settings to manually send them a PIN.
Reset PIN codes for team members
Resetting PIN codes sends a new PIN to team members via email, enabling them to access the workspace.
To reset a PIN code for an individual team member:
- Open Team and select Team members.
- Click on a team member to open their profile.
- Select Actions and Reset PIN.
- Click Reset.
Team members will receive an email with a link to view their new PIN codes once reset.
Disabling PIN switching
You can choose to disable the PIN switching feature for your whole workspace or or individual team members.
Disable PIN switching
To disable PIN switching settings:
- Open Workspace settings, select Team and then PIN switching.
- Next to PIN switching, select Disable.
- Click Disable again to reconfirm.
Disable PIN switching team members
To disable PIN switching for an individual team member:
- Open Team and select Team members.
- Click on a team member to open their profile.
- Select Actions and Edit.
- Under Workspace in the menu, select Settings
- Toggle off the PIN switching feature.
- Click Save.
