Add and manage client documents
Keep track of client information by storing important documents in a client's profile. Learn how to add and manage essential notes and files.
Getting started
To add notes and files to a client’s profile, you'll need access to Client. If you are a team member we recommend:
- Reaching out to the account owner to request permission to manage client details.
Adding client notes
Client profiles can hold multiple notes and files to help store key information that applies to most of their appointments.

To add client notes:
- Open your Clients list and select a client.
- In the client profile, click Documents and select Notes.
- Select Add and fill out the pop-up window with the full note details.
- To attach files to your note, click Upload.
- Select and upload a file from your device.
- Click Save.
To add client notes:

- In the client profile, under Documents select Notes.
- Select Add and fill out the pop-up window with the full note details.
- To attach files to your note, tap Upload.
- Select and upload a file from your device.
- Tap Save.
You can add allergy information and staff alerts to highlight key information on the client's card across your workspace.
Managing client notes
Update client notes
- Desktop
- Mobile
To add client notes:
- Open your Clients list and select a client.
- In the client profile, click Documents and select Notes.
- Select Actions under the desired note and click Edit.
- Update the notes with the new information.
- Click Save.
To update client notes:
- Open your Clients list and select a client.
- In the client profile, under Documents select Notes.
- Select Actions under the desired note and tap Edit.
- Update the notes with the new information.
- Tap Save.
Delete client notes

- Mobile
To delete client notes:
- Open your Clients list and select a client.
- In the client profile, click Documents and select Notes.
- Select Actions under the desired note and click Delete.
- Click Delete to reconfirm.
To delete client notes:
- Open your Clients list and select a client.
- In the client profile, under Documents select Notes.
- Select Actions under the desired note and tap Delete.
- Tap Delete to reconfirm.
Adding client files
All files uploaded through your client’s notes can be added and managed under documents.

To add client files:
- Open your Clients list and select a client.
- In the client profile, click Documents and select Files.
- Click Add.
- Select and upload a file from your device.

- In the client profile, under Documents select Files.
- Tap Add.
- Select and upload a file from your device.
Managing client files
Preview, rename or download client files
- Desktop
- Mobile
To preview, rename or download client files:
- Open your Clients list and select a client.
- In the client profile, click Documents and select Files.
- Use the search bar to locate a file or use the toggle to adjust your view between list or grid.
- Click on the three dots to select either:
- Preview:
View the document. CSV, PDF, XLS, XLSX documents will need to be downloaded for viewing. - Rename:
Update the file name as needed and click Rename. - Download:
The file will be saved to your device.

To delete client files:
- Open your Clients list and select a client.
- In the client profile, click Documents and select Files.

- Click on the three dots to Delete the file.
Once deleted, you cannot restore the file.
