Add extra time to services and appointments
In this guide, you’ll learn how to add extra time to individual services and bundles or directly to appointments in your calendar.
How extra time works
Extra time allows you to extend services and appointments beyond their usual duration. You can choose from three types, depending on how the time is used:
- Processing time: Processing time allows your team members to take other appointments while the client waits. For example, during a hair color treatment, processing time covers the wait while the dye sets, freeing up the team member to serve other clients.
- Blocked time: Blocked time is added to a service when the client is not present, but the team member is unavailable for new bookings. For example, blocked time can be used to cover tasks like cleaning up after a haircut.
- Extra servicing time: Servicing time applies when both the team member and client are occupied - all appointments have at least one servicing time segment. For example, servicing time can be added for clients that opt for an additional head massage, or their treatment time takes longer than usual.
The appointment duration shown to you and your team includes the original service time plus any added extra time.
Add extra time to a service
- From the main menu on the left of your screen, go to Catalog.
- In the left menu panel, click Service menu and select an existing service.
- Select Basic details from the menu on the left to update the duration.
- Under Pricing and duration, click on the Add extra time button and choose to add either Processing, Blocked, or Extra servicing time.
- Next to the Extra time added, use the dropdown menu to set the Duration of the extra time.
- Click on the Save button in the top right to apply extra time to the service.
Once extra time is added to a service, it will automatically apply to all future appointments booked for that service.
When setting up extra time, the original service time will appear grayed out to help you place extra time before or after the service. You can add multiple types of extra time that can be reordered, edited or removed by clicking Actions (three dots).
Add extra time to a bundle
- From the main menu on the left of your screen, go to Catalog.
- In the left menu panel, click Service menu and select an existing bundle.
- In the Edit bundle view, find Services and click Actions (three dots) next to the service you want to add extra time to, and select Add extra time.
- In the Add extra time pop up, click the Add extra time button and select from Processing, Blocked, or Extra servicing time.
- Under the duration tab, use the dropdown menu to set the duration of the extra time, and click on the Apply button.
- Click the Save button in the top right to apply extra time to the bundle.
Once extra time is added to a bundle, it only applies to the service within that specific bundle. If any services from the bundle are booked separately, this extra time won’t be included.
Adding extra time to an appointment
- From the main menu on the left of your screen, go to Calendar.
- Click on an existing appointment to open the appointment view.
- Select the service from the list on the right panel to edit the duration.
- Under Duration type, click on the Add extra time button and choose to add either Processing, Blocked, or Extra servicing time.
- Next to the Extra time added, use the dropdown menu to set the Duration of the extra time.
- Select the Apply button at the bottom of the service details to update the extra time added to the service.
- Click on the Save button to update the appointment.
Once updated, any extra time added to the appointment will be included in the total appointment duration. The updated extra time added to the appointment will automatically appear in the client’s Fresha account for their appointment, excluding any extra blocked time added before or after the appointment.
Update extra time calendar display settings
If extra time is added to a service or an appointment, you can choose to visually highlight the different segments of extra time shown in an appointment slot in your calendar. You can update your calendar view in your Calendar settings.
- From the main menu on the left of your screen, go to Settings.
- Select the Scheduling tab from the top and click on Time and calendar from the left menu panel.
- Under Calendar settings select the Edit button to edit your calendar display settings.
- In the Calendar settings view, tick the checkboxes to update how extra time is displayed on appointments in your calendar:
- Display processing time segments within the appointment slot: Extra processing time will be shown as a faded segment in the same color as the appointment slot.
- Highlight blocked time segments within the appointment slot: Extra blocked time will be shown as a gray segment within the appointment slot.
- Click on the Save button in the top right to update the extra time display settings.
Once the extra time display settings are enabled, any extra time added to appointments will be highlighted in the calendar according to its placement within the appointment.
If you choose not to highlight processing or blocked time in the calendar view, you can still view any extra time added to the appointment by opening the appointment and checking the duration details.

- Extra servicing time: will be shown as the colour of the original appointment slot.
- Processing time: will be shown as a faded segment in the same color as the appointment slot.
- Blocked time: will be shown as a gray segment within the appointment slot.
- For appointments: Open the Calendar, click on an existing appointment to open the appointment view. From the appointment view on the right, click on a service to open the edit service view. You can adjust the extra time duration or click Actions (three dots) next to it and select Remove.
- For services: Open your Catalog, from the left menu, click on the Service menu and select the service you want to edit or delete extra time for. Under Pricing and duration you can update the duration of the extra time or click Actions (three dots) next to it and select Remove.
- For bundles: Open your Catalog, from the left menu, click on the Service menu and select the bundle you want to edit or delete extra time for. Under Services, locate the service with extra time that you want to edit or delete and click Actions (three dots) and select Edit extra time. From the Edit extra time pop-up, you can edit the duration or extra time type, click Actions (three dots) to Remove an extra time type, or Reset to default.

Yes, when scheduling new appointments in your calendar you can add extra time by editing the services. Just click on the services in the appointment view and choose to Add extra time under Duration type.
Blocked time added to the calendar is general and prevents any appointments during that time, such as for lunch breaks or personal tasks. Blocked time added to a service applies only when that service in particular is booked.
If extra time is added directly to an appointment, it only affects that specific appointment. If extra time is added to a service in your catalog, it will apply every time that service is booked.
Yes. You can add a combination of Processing, Blocked, and Extra servicing time to the same service to customize scheduling as needed.
When booking online, clients will see the full duration of the appointment, which includes any extra servicing or processing time.
However, any extra blocked time added before or after the service will not be reflected in the total appointment duration as this does not require the client to be present.
